Cancellation and Refund Policy

1. Purpose

This policy sets out how AORTA (“we”, “our”, “us”) manages cancellations, substitutions, rescheduling, and refunds for all training courses. It ensures fairness and transparency while covering unavoidable administrative and registration costs associated with course preparation and delivery. 2. Delegate Cancellations – First Aid Courses

All cancellations for First Aid courses incur a £25 administration fee to cover registration, booking, and administrative costs.

  • More than 14 days’ notice: Full refund minus £25 administration fee, or transfer to another course (at Clinical Directors’ discretion).
  • Between 7–14 days’ notice: 50% refund minus £25 administration fee, or transfer to another course subject to the £25 administration fee.
  • Less than 7 days’ notice or non-attendance: No refund will be issued. A new booking must be made at the full course fee.
  • Substitutions: A substitute delegate may attend in place of the original booking if notified at least 1 week prior to the course start date.

3. Delegate Cancellations – ILS and PILS Courses

Due to the fixed registration costs, materials, and certification fees associated with Resuscitation Council (UK) courses, all cancellations for ILS and PILS courses incur a £30 administration fee.

  • More than 15 days’ notice: Full refund minus £30 administration fee, or transfer to another course (at Clinical Directors’ discretion).
  • 15 days or fewer notice: Full course fee will be charged, as it is too late to replace the candidate or recover registration and material costs.
  • Substitutions: A substitute delegate may attend in place of the original booking if notified at least 2 weeks prior to the course start date.

4. Group or Corporate Bookings

For on-site or block bookings:

  • Cancellations made more than 21 days prior – no charge other than any incurred administrative or venue costs.
  • Cancellations made within 21 days – 50% of total fee charged.
  • Cancellations made within 7 days or non-attendance – 100% of total fee charged.

5. Course Cancellations by AORTA

If AORTA must cancel or postpone a course due to unforeseen circumstances (e.g. illness, insufficient enrolments, or venue issues):

  • Delegates will be offered a full refund or free transfer to another date.
  • AORTA will not be liable for any additional expenses such as travel, accommodation, or loss of income.

6. Rescheduling

Requests to reschedule (rather than cancel) will be reviewed at the discretion of the Clinical Directors.
Administrative fees will still apply:

  • £25 for First Aid courses
  • £30 for ILS/PILS courses.

7. Refunds

Approved refunds will be processed within 10 working days of written confirmation and returned to the original payment method only.

8. Exceptional Circumstances

In cases such as serious illness, bereavement, or other emergencies, AORTA may, at its discretion, offer a course transfer or partial refund outside standard terms. Supporting documentation will be required.
